HVAC failure messages: no heat or no air conditioning

A boiler failure is rarely a one-day story. Ten variants covering closure, partial-building relocation and the two-week repair, plus the classroom temperature ranges that force the call.

There is no single national classroom temperature standard. Minimum heating temperatures appear in some state school facility codes and in many collective bargaining agreements; maximum temperatures are far less commonly codified, which is why heat decisions feel more discretionary than cold ones. Find out which of the three — code, ordinance, or contract — binds your district, before you need to.

The ten variants

Heating failure

1. Overnight boiler failure, closure. [School] is CLOSED today, [date]. The boiler failed overnight and the building is at [temperature]. Our maintenance team and [contractor] are on site now. All other schools are open on the normal schedule. We will message about tomorrow by [time] today.

2. Delay while the building warms. [School] is on a TWO-HOUR DELAY today. The heating fault was repaired at [time] and the building is warming but is not yet at temperature. Buses run two hours late, dismissal is normal, no AM preschool, no breakfast.

3. Partial failure, students relocated within the building. [School] is open. The [wing] is without heat and those classes have moved to [location] for the day. Meals, PE and dismissal are unaffected. If your child is in [named classes], they will be in a different room; their teacher will explain.

4. Relocation to another campus. [School] students will attend [alternate campus] today, [date], while heating is repaired. Buses will collect at the normal times and stops and take students to [alternate campus]. Dismissal is at [time] from [alternate campus] with buses returning to normal stops. Lunch is provided.

Cooling failure

5. Chiller failure with high outdoor temperature. [School] will dismiss at [time] today. The air conditioning failed [when] and classroom temperatures are above [value] by mid-morning. Buses run at that time. After-school activities are cancelled. We will update on tomorrow by [time].

6. Cooling failure, school open with mitigations. [School] is open. Air conditioning is out in [area]; those classes have moved to the ground floor and the library. Fans are running, all outdoor activity is suspended, and water is available throughout the building. Please send a filled bottle.

Extended repair

7. Parts on order — the honest version. [School] remains without heat. The failed component is [part] and it is not held in stock anywhere in the region; it is on order with an expected delivery of [date]. That means we are looking at [n] more days, not one. Students will continue at [alternate arrangement]. We will message every other day at [time] whether or not there is news.

8. Update with genuinely no news. No change at [School]. The part has not arrived. Our arrangement at [alternate site] continues tomorrow unchanged. Next update [day] at [time].

9. Repair complete, building recovering. The heating at [School] was repaired at [time] yesterday and the building has been running overnight to bring temperature back up. We reopen tomorrow on the normal schedule. Thank you for a difficult two weeks — the arrangements at [alternate site] worked because families made them work.

Planned

10. Planned system replacement. [School]'s heating system will be replaced between [dates]. During that period students will attend [arrangement]. This is planned work, funded by [source], and it means the building will hold temperature properly for the first time in years. Full details and a schedule at [URL]; a meeting for questions is at [time, place].

Relocation, and the cadence that stops the rumour cycle

Two things distinguish an HVAC failure from every other disruption on this site. It can last weeks, and it produces a genuine question about whether the district has been maintaining its buildings.

On relocation. Consolidating classes into a heated or cooled portion of a building is almost always better than closing, and it is under-used because it feels improvised. It works if the message covers what actually changes for a family: which room, what happens to meals, whether PE is running, whether dismissal moves, and whether the child needs anything different. A relocation announced without those details generates the same call volume as a closure.

On cadence. A two-week repair with no updates produces a specific and predictable rumour: that the district knew the boiler was failing, did nothing, and is now hiding it. The counter is not a statement rebutting it. The counter is an update every other day, at a fixed time, that names the part, names the supplier lead time, and says plainly when there is no news.

Do not say "we are working to resolve this as quickly as possible". It is the phrase that signals to a reader that you have nothing to tell them. Say the part number or the component, say who it was ordered from, say the expected date, and say what happens if that date slips. Specificity is the entire difference between a district that is trusted through a long repair and one that is not, and it costs nothing.

If the failure is genuinely the result of deferred maintenance, say that too, and say what the capital plan does about it. Districts that get in front of that question survive it. Districts that answer it in a board meeting in March do not.

Sending a two-week sequence

The operational problem with a long repair is that the update is a chore. It falls to whoever remembers, it goes out at inconsistent times, and by week two it stops.

Scheduling helps. Questions people actually ask

How cold does a classroom have to be before school closes?

There is no national standard. Many state school facility codes and a great many collective bargaining agreements set a minimum heating-season temperature around 65°F to 68°F, with a lower figure — often around 60°F — below which a room should not be occupied. Find out whether your district is bound by code, by local ordinance or by contract, because the answer determines whether the decision is yours at all.

Can a school stay open with only part of the building heated?

Usually yes, and it is generally a better option than closing. Consolidate classes into the heated portion, then tell families exactly what changes: which room their child is in, whether meals, PE and dismissal are affected, and whether anything is needed from home. Relocation without those details produces as many calls as a closure.

What temperature is too hot to hold class?

Maximum classroom temperatures are far less often codified than minimums, which is why heat decisions feel discretionary. In practice districts start relieving conditions in the high seventies, consider a shortened day or relocation in the mid eighties, and stop occupying rooms above the high eighties. Humidity matters as much as the number on the thermometer.

How often should a district update families during a long HVAC repair?

Every other day at a fixed time for a multi-week repair, including the days when nothing has changed. Name the failed component, the supplier lead time and the expected date. Vague reassurance on an irregular schedule is what allows the deferred-maintenance narrative to form, and once it forms it is much harder to answer.

Should a district relocate students to another campus or close?

Relocate where it is feasible, because a closure is a lost instructional day that may have to be made up and a relocation is not. Relocation needs buses on the normal stops and times, a lunch plan, a dismissal plan, and a clear message. It is more work for the district and considerably less disruption for families, which is usually the right trade.
